Privacy Policy
This policy explains what personal information Cakes by Katie Allen collects, why we collect it, and what we do with it. It applies to this website and to enquiries you send us through it.
For data protection purposes the data controller is Cakes by Katie Allen, 16 Ledwell Road, Caddington, Bedfordshire, LU1 4JJ. If you have any questions about this policy, or about your information, email info@cakesbykatieallen.com.
What we collect
When you use the contact form we collect your name, email address, subject and message.
When you request a quote we collect your name, email address, phone number, the details of the cake you are asking about (size, servings, date, collection or delivery, delivery postcode), any notes you add, and any inspiration images or links you attach.
The notes field invites you to tell us about allergies. Information about your health is treated as a special category of personal data, and we use it only to make your order safely. Please only tell us what we need in order to do that.
When you browse the site our website host keeps standard server logs, which include IP addresses, for security and troubleshooting. If you accept analytics cookies, we also collect the usage information described below.
Why we collect it, and our lawful basis
We use your contact and quote details to reply to you, to prepare a quote, and to make and deliver your order. Our lawful basis is that this processing is necessary to take steps at your request before entering into a contract, and to perform that contract once you order.
Where you have given us health information such as an allergy, we rely on your explicit consent to use it, which you give by telling us. You can withdraw it at any time, though we may then be unable to make your order safely.
We use analytics only where you have given consent, and you can withdraw that at any time.
Cookies and analytics
We use Google Analytics to understand which pages people visit, so we can improve the site. It tells us things like which pages are popular, roughly where visitors are in the world, and whether they came from a search engine or social media. It does not tell us who you are.
Nothing is loaded from Google, and no analytics cookies are set, unless you press Accept on the cookie banner. If you decline, no analytics cookies are set at all, and we remember that so we do not keep asking.
If you accept, Google Analytics sets cookies named _ga and _ga_ followed by a code, which last up to two years and are used to tell repeat visits apart. Your IP address is anonymised before it is stored.
Your accept-or-decline choice is stored in your browser's local storage rather than in a cookie, so declining cookies does not itself set one. To change your mind, use the Cookie settings link at the bottom of any page. If you had previously accepted, declining stops analytics straight away and removes the cookies it set. You can also block or delete cookies in your browser settings, and opt out of Google Analytics across all websites using Google's opt-out browser add-on.
Who we share it with
We do not sell your personal information, and we do not share it for advertising.
Enquiries and quote requests are sent to our email account and are handled by our website and email host, who stores them on our behalf. Analytics information is processed by Google, which may transfer and store it outside the UK; Google provides safeguards for those transfers.
We may share information where we are legally required to do so.
How long we keep it
We keep enquiry and quote emails for up to two years after our last contact with you, so that we can refer back to previous orders and designs, and then delete them. Where you have placed an order, we keep the records needed for accounting and tax purposes for six years, as required by law.
Inspiration images you attach are sent to us by email and are not stored on this website.
Analytics information is retained by Google for up to fourteen months.
Your rights
Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to ask for it in a portable format. Where we rely on your consent, you can withdraw it at any time.
To exercise any of these rights, email info@cakesbykatieallen.com. We will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113.
